PILOT GUIDE / 4 NOVEMBER 2026

A complete record.
A deliberate share.

For crew

Create your account

Use your own email, finish verification and keep control of your password. Return with the same account to retrieve your saved profile.

Upload and review

Open Set up my profile. Upload PDF, JPG or PNG files up to 10 MB each. Reading runs in this browser using English and Indonesian models. Up to 20 PDF pages. DOCX is not supported.

Correct and save

Check contact details, roles, vessels and certificates. Unknown dates stay blank. Compare the original. Confirm the acknowledgement and save. A draft is not saved automatically; keep the tab open until saved.

Check dates and preview

Open Sharing, dates & CV. Review missing fields and expiry dates. Preview the account copy, then Print / save PDF. Printed profiles omit internal draft notes and do not attach source documents.

Choose one company

Use its company code or your email-bound invitation. Confirm the company name. Select only necessary files and 1–30 days. Review the consent statement before sharing.

Stay in control

Check employer requests here. Revoke future access, or delete self-service data through the explained deletion process. Employers may have downloaded copies; request their deletion directly.

For crewing agencies

Request admission

Sign in using your work email. Submit your legal company name, registration reference and authority declaration. The pilot operator must check your company before access opens.

Add your authorised team

The company owner prepares staff invitations bound to verified email addresses. Copy and send links directly. They expire after 7 days. Remove staff access from the Team panel when needed.

Invite crew voluntarily

Prepare a crew invitation or provide your company code. An invitation alone grants no profile or document access. The crew member previews and consents to a specific share.

Review and follow up

Search current shared records by rank, skill, vessel or qualification. Use company-only notes and a separate request visible to crew. Save review status. Do not infer certificate authenticity or fitness from an upload.

Respect access limits

Expired or revoked shares stop future portal viewing and downloads. Do not re-share downloaded files or use data for another purpose. Your agency must manage lawful retention of any copies.

Compare the process

Record review time and missing-information follow-ups against your existing method. Discuss proposed pricing only after measuring value. No hiring decision is automated.

Getting help

Use Pilot & support requests. You receive a reference and can return to see the operator’s response. The operator inbox must be checked daily during the pilot. In-app responses are the working notification channel; automated workflow emails are not connected.

For account or access problems: help@crewlink.team. Send the time, page and reference, with a screenshot that hides identity/medical details. Never send passwords or sign-in codes to support.

Proposed support target, subject to the named operator’s approval: acknowledge within one UAE business day; urgently suspend company access after a suspected unauthorised disclosure, preserve minimal access logs, contact affected parties through the agreed channel, investigate and document resolution. Do not promise statutory breach timelines without legal review.

Forgotten password: use the recovery option in Sign in. The identity provider manages recovery. A fresh end-to-end recovery rehearsal remains a pilot admission check.

What remains outside this pilot

Genuine job advertising/application delivery, payroll, medical-fitness decisions, issuer verification, native mobile apps, certificate renewal bookings and automatic reminder emails. Earlier device-only planner tools remain labelled as such. Staff-created candidate intake records and recovery backups are a separate store; they do not automatically merge into a crew self-service profile.

Before inviting real crew: confirm the operating entity, support owner, final privacy terms, permitted document categories and locations; complete production multi-account and phone testing; establish whole-system database and object backup/recovery.

A short product walkthrough

1. Show a fictional CV and its original. 2. Upload, correct one extraction error and save. 3. Reload the account copy. 4. Preview the exported profile. 5. Find an admitted agency and consent to a selected file for 7 days. 6. Open the agency workspace and review it. 7. Add a private note and a crew-visible information request. 8. Return as crew and revoke access. 9. Demonstrate the employer’s access denial. 10. Show the recorded access history and the deletion explanation.

Use fictional records for demonstrations. Production acceptance evidence must name the test method and environment; local simulation is not a successful real-world pilot.
